Group travel budgeting guide
Turn the trip total into a daily and per-person plan
A usable travel budget separates fixed costs booked before departure from daily destination spending. It also makes clear whether a quoted amount is for one traveler or the whole group.
The planner applies lodging taxes, card or exchange fees, fixed booking costs, and contingency before calculating the funding target. The copy button creates a concise summary for the group.
How to use this tool
Enter travelers and nights
The planner treats trip days as nights plus one and charges lodging by night.
Separate per-person and group costs
Flights and food multiply by travelers; lodging, local transport, activities, and miscellaneous entries cover the group.
Add payment friction
Estimate card, exchange, booking, visa, resort, or other fees that do not appear in base quotes.
Set the group cap and savings runway
Compare the plan with the target budget and the money available before departure.
What the daily destination cap means
The cap subtracts entered flights, lodging, and fixed fees from the target group budget, then divides the remainder by trip days. It is the amount left per day for food, transport, activities, miscellaneous spending, fee percentages, and contingency.
Split costs transparently
- Use per-traveler output for an equal split.
- Adjust separately when rooms, airfare, or activities are not shared evenly.
- Share which expenses are already paid and which remain due.
- Keep a contingency reserve outside the ordinary daily spending amount.
International-trip fees
Foreign transaction fees, exchange spreads, ATM fees, and dynamic currency conversion can raise the effective cost. Enter a percentage that reflects the payment methods you actually expect to use.
Prices, exchange rates, entry requirements, taxes, and refund terms can change. Recheck booked and unbooked costs before committing funds.
Frequently asked questions
How much should I budget per person?
The calculator divides the complete group budget, including fees and contingency, by the number of travelers. Adjust the split if travelers have different airfare, rooms, or activities.
Are trip days the same as hotel nights?
No. The planner uses nights for lodging and nights plus one for food, transport, and per-day calculations.
What should the contingency cover?
Use it for price changes, missed connections, unplanned transport, medical needs, or other costs that are plausible but not certain.
How can a group share the result?
Use the copy button to create a short text summary with the total, per-person amount, daily amount, and funding status.
